# Zentrik + HubSpot

Link HubSpot companies to Zentrik accounts, keep account fields aligned with company properties, and bring deals, owners, and lifecycle stage into product decisions. Every insight, opportunity, and idea then shows the ARR and open pipeline behind it.

## Overview

HubSpot in Zentrik is a **read-only CRM integration**. Zentrik reads companies, deals, owners, pipelines, and contacts. Nothing is written back to HubSpot.

The integration answers one product question: *which accounts, deals, and revenue stand behind a repeated need?* Once companies are linked, each insight, opportunity, and idea shows its Linked ARR alongside the open, stage-weighted, and closed-won pipeline attached to the same accounts.

## Access and permissions

- **Companies and company properties**: Read company records and property definitions so admins can map fields and Zentrik can review matches against existing accounts.
- **Deals and pipelines**: Read deals for linked companies with stage, probability, amount, currency, close date, and owner.
- **Owners**: Resolve the HubSpot owner of each linked company and deal so product decisions name the commercial owner.
- **Contacts**: Sync people attached to linked companies into Zentrik when the account sync enables it.

## Connect HubSpot

Connecting takes one OAuth authorization from a HubSpot user who can grant CRM read access for the portal.

### Before you start

- A HubSpot user with permission to install apps and read companies, contacts, deals, and owners.
- A Zentrik workspace admin who can open **Settings → Integrations**.
- Agreement on which HubSpot company properties should become Zentrik account fields (lifecycle stage, employee count, country, and any custom ARR or MRR property).

### Connect in Zentrik

1. Sign in to Zentrik.
2. Open **Settings → Integrations** and select **HubSpot**.
3. Choose **Connect** and pick the HubSpot account (portal) to authorize.
4. Approve the requested read scopes and return to Zentrik.

Zentrik stores the portal identity with the connection. Reconnecting with a different portal is refused so linked companies always resolve against the portal that created them.

## How to use it

Start with field mapping, review company matches once, then let the scheduled sync keep accounts, deals, and owners current.

### Map company properties

Open the HubSpot integration settings and choose which **company properties** feed each Zentrik account field. Employee counts are banded into Zentrik company sizes automatically, and HubSpot lifecycle stages map to Zentrik stages through an editable table (for example `customer → Active`).

Only map **ARR** or **MRR** to a property that holds what the company pays you. HubSpot's `annualrevenue` is the company's own revenue, not your contract value, so it should stay out of the ARR mapping.

Save the mapping as a reusable profile so saved imports can snapshot it.

### Review company matches

From **Accounts → Import → HubSpot companies**, Zentrik compares HubSpot companies with existing accounts by domain, website, and name. Link high-confidence matches, resolve ambiguous ones, and create missing accounts in one approval step.

Each linked company keeps a durable source identity on the account, so later syncs refresh the same record instead of creating duplicates.

### Set account revenue

Zentrik ranks and filters product demand by the revenue behind the accounts asking for it, so the most important thing a CRM connection does is fill that number in.

By default Zentrik derives account revenue from deals in two tiers. A customer's revenue is the recurring value of its **closed-won deals** (deal ARR, or MRR x 12). An account with nothing won is a prospect, and its revenue is the recurring value of its **open deals weighted by pipeline stage probability**, so a repeated need from three accounts still in evaluation ranks on what is actually being sold rather than at zero. Pipeline never adds on top of booked revenue. Zentrik never sums a deal's **amount**, because amount is booking value and may be one-time or multi-year; summing it would overstate ARR. HubSpot only fills deal ARR/MRR when the portal runs revenue analytics, so if yours does not, map an ARR property on the company instead and switch the revenue source to **Use the mapped company property**.

Derived revenue respects the update mode: on **Fill blanks only** it never replaces a value someone already set. Every run reports how many accounts ended with revenue, including zero, so a connection that cannot produce it tells you rather than failing quietly.

### Deals, owners, and lifecycle

The account sync refreshes every linked company: owner, lifecycle stage, the selected snapshot properties, and all deals with pipeline, stage, stage probability, amount, currency, close date, and owner. Deals removed in HubSpot are archived, not deleted, so history stays explainable.

Open the account page to see the HubSpot context, the deal list, and a **Refresh from HubSpot** action for one account. Contact sync is on by default and can be turned off per connection.

When deals carry line items, each line's product is matched to a Zentrik product (by SKU, HubSpot product id, or name, through the product's source aliases) and its recurring value lands on that product's link, so demand for one product ranks on the revenue behind that product. Lines Zentrik cannot match are listed on the run receipt; add a product alias once and every later sync places them.

### Revenue exposure in Discovery

Insights, opportunities, and ideas show a **commercial exposure** block next to Linked ARR: open pipeline, stage-weighted pipeline, closed-won revenue, and the accounts behind each figure with their owner and lifecycle stage. A deal shared by several linked companies is counted once, and totals only combine amounts in the dominant deal currency.

## For workspace admins

- Keep **Fill blanks** as the update mode for the first sync and review the receipt before switching to **Replace selected**.
- Leave automatic account creation off until a preview shows the expected matches.
- Raise the deal or contact limits if the receipt reports a truncated scan; archiving only runs after a complete scan.
- Use the saved import when a second cadence or a different mapping is needed; the connection-managed schedule and a saved import cannot both own automation.

## Troubleshooting

### HubSpot reports missing permissions during connect

The HubSpot app requires read scopes for companies, contacts, deals, owners, and their property schemas. Ask a HubSpot super admin to authorize, or install the app for the portal first, then retry from **Settings → Integrations → HubSpot**.

### No deals appear on linked accounts

Deals are only read for companies that are linked to Zentrik accounts. Run the company review first, then run the account sync. If the receipt says the deal scan was truncated, raise the deal limit in the connection settings.

### Connected the wrong HubSpot portal

Disconnect the integration in Zentrik and connect again with the correct portal. Zentrik refuses a reconnect that changes the portal on an existing connection.
